Admin Executive (E-Perolehan) – Job Vacancy in Johor Bahru
Job Overview:
We are looking for a highly organized and detail-oriented Admin Executive to join our team in Johor Bahru, specializing in E-Perolehan (Electronic Procurement). In this role, you will play a vital part in ensuring smooth administrative operations, managing government project documentation, and supporting internal processes. If you have strong multitasking abilities, excellent communication skills, and are experienced in administrative support—this position is for you.
Key Responsibilities:
🔹 Government Projects & Tender Management (E-Perolehan):

Manage submissions and documentation for government tenders via E-Perolehan systems.

Coordinate the tendering process from preparation to submission.
🔹 Administrative & Office Support:
-
Organize appointments, meetings, and maintain contact lists.
-
Draft and distribute internal and external correspondence (letters, memos, forms).

Handle invoice preparation, tracking, and submission.
-
Maintain organized filing systems and digital records for easy access.
🔹 Report & Document Management:
-
Assist in generating scheduled and ad-hoc administrative reports.

Take meeting minutes and ensure timely distribution to relevant teams.
🔹 Communication & Coordination:
-
Answer phone calls, respond to emails, and manage reception when required.

Act as a liaison between departments to ensure smooth communication.
🔹 Logistics & Travel Planning:
-
Arrange travel bookings (flights, hotels, transport) for staff.

Coordinate logistics such as booking conference rooms, couriers, and taxis.
🔹 Expense & Inventory Management:
-
Handle expense report submissions and reconciliations.

Manage office supply inventory and place orders as needed.
🔹 Staff & Office Development:

Support the training and development of junior administrative staff.

Propose improvements to increase office efficiency and workflow.
🔹 Confidential Information Handling:

Maintain strict confidentiality when handling sensitive information and documents.
🔹 Customer Service & Visitor Support:

Greet visitors and assist with inquiries professionally.

Respond to general customer or partner inquiries via phone, email, or face-to-face.
🔹 Other Administrative Duties:

Perform tasks such as copying, scanning, typing, and binding.

Assist in coordinating internal office procedures and resolving admin issues.
Qualifications:

Proven experience in administrative or office support roles.

Strong command of Microsoft Office Suite and/or Google Workspace.

Excellent time management, organizational, and problem-solving skills.

Strong written and verbal communication skills.

Ability to handle confidential information with discretion.

Adaptability in a fast-paced work environment.
Education Requirement:

Bachelor’s Degree in Business Administration, Office Management, or a related field is preferred.
